Effective Date: 06/05/2025 Applies To: All room bookings, hall reservations, and service agreements made with VL Patil Stays & Banquets (Vasant Laxmi Kalyan Mantap), Gulbarga
1. Booking Deposits & Payments
To confirm any booking—whether for accommodation, banquet hall usage, or event-related services—a non-refundable deposit or advance payment may be required.
This deposit is used to secure the date and facilities and will be deducted from the final bill.
Payment can be made via debit/credit card, UPI, bank transfer, cheque, or cash.
2. Refund Conditions
Refunds are processed in accordance with the following cancellation notice period:
15+ days prior to arrival/event date: ✅ Full refund of advance payment
14 to 3 days prior to arrival/event date: ✅ 50% refund of advance payment
Less than 48 hours prior to arrival/event date: ❌ No refund; 100% of the deposit or booking fee is retained
If a full advance payment has been made, it will be refunded after deducting applicable cancellation charges as per the above schedule.
3. Non-Arrival / No-Show Policy
Guests who fail to arrive without prior notice will forfeit the entire deposit or advance payment. The remaining balance for the booking may still be invoiced depending on the scale and timing of the event.
4. Refund Processing Time
Once approved, refunds will be processed via the original mode of payment within 7–10 business days. In case of delays, guests may contact our support team with their booking reference.
5. Booking Modifications
Modifications to existing bookings (such as date changes or guest count adjustments) are subject to availability and management approval.
If changes are requested less than 72 hours before arrival or the event, additional charges may apply.
6. Event-Specific Refunds
For banquet hall bookings involving third-party services such as catering, decoration, or sound, separate cancellation terms may apply. These will be disclosed at the time of contract and included in your booking agreement.
7. Refunds for Service Failures
If any service paid for is not provided as agreed (due to vendor error, force majeure, or operational issues), we will review the matter and, if appropriate, provide:
A partial refund, or
A credit voucher for future use within 12 months
8. Force Majeure
In case of government restrictions, natural disasters, pandemics, or other unforeseen circumstances beyond our control, rescheduling will be prioritized. Refunds may be offered at management’s discretion based on the situation.
